Manual Data Entry Cost: What You're Really Paying

The Bill You Never See Coming

A 2025 survey of 500 U.S. professionals found that manual data entry costs businesses an average of $28,500 per employee per year. The average worker spent more than nine hours per week transferring data between emails, PDFs, spreadsheets, and internal systems.

Nine hours a week. More than 450 hours a year, per person, on work a computer can do in seconds.

The Simple Math

Take an operations coordinator earning $50 per hour. Five hours a week on data entry costs you roughly $13,000 a year. Ten hours a week costs $26,000. That is before anyone makes a mistake.

The problem gets worse when skilled employees are the ones doing the entering. Finance staff, sales coordinators, and operations leads often spend hours maintaining spreadsheets and copying records between systems. Those roles cost $50 to $90 per hour. You are paying premium rates for commodity work.

According to the SBA, the average small business owner works 52 hours per week, with roughly 40 percent going to administrative tasks like data entry and report generation. If that is you, your time has a cost even if it does not show up on a payroll report.

Automated extraction drops that to around $3 per invoice and processes each one in one to two seconds. For a business handling 500 invoices per month, the savings on processing costs alone exceed $72,000 per year.
